A new staffing position has been created within the ACA admin team. The successful candidate should be available immediately with a targeted start date of Monday 28 October 2019.

POSITION: PORTFOLIO COORDINATOR

The ACA requires an individual to oversee all ACA Secretariat coordinative functions for the Operations Committees, with particular reference to student administration and support for all ACA bursary students.

Role Description

1. Portfolio Coordinator
The candidate will be responsible for the following:

  • Compile the draft agendas and submit to the respective Committee Chairperson for comment and approval
  • Preparation of committee meeting packs
  • Ensure that all committee meetings are recorded and minutes compiled within 72 hours, checked for accuracy before being sent to the ACA CEO and Chair of Committee for approval.
  • Follow up, action and provide regular status reports on all committee activities as directed by the committee
  • Provide draft status reports on activities and initiatives to Committee Chairpersons and the CEO for board meetings
  • Manage a record keeping system relating to activities of committees
  • Maintain records of minutes and resolutions of all decisions by committees
  • Verify the accuracy of expense submissions before submitting to the CEO and Financial Manager for payments and approval

2. Student Coordinator and Administrator

  • Provide administration support to Secretariat for the coordination of the program activities and services for the students enrolled through the ACA Bursary Program
  • Coordinate and administer student support; such as bursary applications, bursary program documentation, computer accounts, information sessions, and student orientation
  • Arrange and coordinate school visits for the execution of “Creativity Pays Off” to create awareness of advertising as a career
  • Schedule and accompany a senior member of the ACA or Chairperson of Education on visits to schools
  • Initiate, develop and sustain strong positive relationships with learners on the program and ensure the ACA is aware of any issues students may face
  • Manage and coordinate the National Mentorship Movement
  • Ensure records are obtained from various institutions on academic progress
  • Maintain student records on a database
  • Assist the Secretariat with the application of funding from MICT Seta and any other funders

9. Valid Driver’s License
10. Own Car
